Follow up on unanswered fence quotes with AI

FencingQuote follow-up

The problem

Homeowners often collect several fence bids, then go quiet. Chasing every quote by hand is the first thing that slips when you're busy installing.

Steps

  1. List every quote sent in the last 30 days with no answer: name, fence type, footage, price, date sent.
  2. Paste one quote's details into the prompt below.
  3. Read the drafts, fix anything that isn't true for this job, and send message 1 from your own email or phone.
  4. Set reminders for messages 2–4 (or use your field-service software's built-in quote follow-ups).
  5. Stop the sequence the moment the customer replies.

Copy-paste prompt

Replace everything in [BRACKETS]. Works in ChatGPT, Claude or Gemini.

You are writing follow-up messages for a residential fence company.
Company: [COMPANY NAME], owner: [YOUR NAME], city: [CITY]
Quote details: [FENCE TYPE, e.g. 6 ft cedar privacy], [LINEAR FEET], [PRICE], sent on [DATE]
Customer: [FIRST NAME]. Notes from the site visit: [NOTES, e.g. has a dog, HOA, wants it before summer]

Write 4 short follow-ups (day 2, day 5, day 10, day 21). Rules:
- Friendly, plain language, under 70 words each, no pressure tactics.
- Each message adds one useful thing: answer a likely question (HOA approval, permits, material choice, gate options, timing), not just "checking in".
- Message 4 politely closes the loop and invites a simple yes/no.
- Never invent prices, discounts, or dates I didn't give you.
