Collect late payments from landscaping maintenance clients

LandscapingInvoices & collections

The problem

With many small recurring invoices, a few late payers can add up fast — and awkward reminders get put off.

Steps

  1. Run an aged-receivables report in your accounting software.
  2. Group clients by how late they are.
  3. Run the prompt for each group.
  4. Decide your service-pause policy before sending the final notice.

Copy-paste prompt

Replace everything in [BRACKETS]. Works in ChatGPT, Claude or Gemini.

Write payment reminders for [COMPANY], a landscaping company, for recurring maintenance clients.
Group A: 1–2 weeks late. Group B: 30+ days late. Amount and invoice number: [VARIABLES].
For each group write a short email (under 80 words) and a text (under 160 characters). Group B should mention, politely, that service will pause on [DATE] until the balance is paid. Include payment link [LINK]. No legal threats.
